The Procedure Scheduler is responsible for managing patient appointments, coordinating procedures, and maintaining accurate medical records. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with both patients and healthcare providers. The ideal candidate will have experience in medical scheduling, knowledge of insurance authorizations, and proficiency in electronic medical records (EMR) systems.
Key Responsibilities
- Coordinate and schedule office procedures and surgeries.
- Manage incoming referrals and ensure all necessary documentation and approvals are obtained.
- Communicate with external provider offices to secure patient clearances and required medical records.
- Maintain accurate procedure and surgery calendars, ensuring timely updates and notifications of schedule changes.
- Obtain authorizations for imaging, procedures, and surgeries, following up on pending approvals as needed.
- Work closely with anesthesia services and provider offices to collect necessary documents, medical records, and cardiac clearances.
- Verify patient insurance coverage and schedule procedures at the appropriate facility based on coverage.
- Review patient charts for completeness, ensuring all necessary tests and records are available before procedures.
- Collaborate with providers and management to improve scheduling processes and ensure efficient patient flow.
- Handle scheduling denials and resolve issues related to procedure coordination.
Qualifications
- Education: High School Diploma or GED required.
- Experience: Prior experience in medical scheduling, preferably in a pain management or surgical setting.
Skills & Abilities:
- Strong knowledge of medical terminology and procedure scheduling.
- Proficiency in EMR/EHR systems and multi-line phone handling.
- Excellent organizational and multitasking skills in a fast-paced environment.
- Strong communication and problem-solving abilities.
- Ability to work collaboratively with providers, patients, and administrative teams.
